Job Description:

LUNA Language Services is looking to hire an Operations Specialist to support the general operations of this dynamic and diverse company. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist and at times oversee project management of several key programs at LUNA, including human resources projects, contract management, and the diversity supplier program. To be successful as a Operations Specialist, candidates should be professional, polite, and attentive. They should always be prepared and responsive and willing to meet each challenge directly. The candidate must excel at verbal and written communication, time, and project management, and be able to work independently to meet the goals of the department. Responsibilities:

  • Assist Law, Policy, & HR Advisor with day-to-day contract administration, vendor forms, and document preparation
  • Assist with the hiring process, specifically scheduling interviews, communicating with potential candidates, and facilitating job postings
  • Maintain and distribute staff matrix, including demographic information, hire date, birthday, and contact information
  • Assist with the onboarding process, specifically scheduling onboarding sessions and coordinating the completion and distribution of the onboarding packet for new hires
  • Assist with annual assessments, including scheduling and follow-up when directed
  • Assist with the planning, scheduling, and facilitating of company meetings and events, including presentation materials and assisting with notes when requested
  • Assist with data entry into databases and running of contracting and HR reports
  • Assist with general communications as requested
  • Understand, embrace, and advance the LUNA company culture, image, and brand

Skills and Qualifications:

  • Excellent written and verbal communication skills
  • Excellent customer service and interpersonal skills
  • Highly organized and detail-oriented
  • Ability to work well in a diverse environment with many different ages and ability levels
  • Good time management skills and ability to prioritize tasks
  • Love for continuous learning, problem-solving, and helping others
  • High school or equivalent degree
  • Experience in legal field preferred but not required
  • Experience with DocuSign and Zendesk preferred, but not required
  • Additional language skills preferred but not required

Reports To:

  • LUNA’s Law, Policy, and Human Resources Advisor

  • Salary range – $40,000 to $50,000
